3. What Personal Data We Collect

We collect information to provide and improve our Services. The types of data we collect depend on how you interact with us.

  • Account Information: When you create a Pillar account, you provide us with information like your name, business email, organization name, and billing details.
  • Customer Data (Your Website Content): To provide our "Improve" service, we crawl your designated website(s) and process its content. This content is used to create "LLM-optimized content" and power a parallel AI website (e.g., yourbrand.ai.trypillar.com) that we host on your behalf to respond to AI crawlers.
  • Analytics & Tracking Data: To provide our "Track" service, we collect data on how AI platforms represent your brand and your competitors. This includes prompts, AI-generated responses, and performance metrics like visibility scores and rankings.
  • Usage Information: We automatically log technical data about how you interact with our Services. This includes IP addresses, device and browser types, timestamps, feature engagement metrics, and error logs.
  • Cookies and Trackers: We use cookies and similar technologies to keep you logged in, remember your preferences, and measure site traffic and feature adoption.
  • Payment Information: We use a third-party payment processor. We do not store your full credit card details, but we may receive metadata such as the card type and last four digits.
  • Support & Communication: When you contact us for support or chat with our team, we collect the contents of those communications (e.g., emails, chat transcripts, survey responses).
  • Information from Third Parties: If you choose to connect our Services to a third-party account (like signing in with your Google or Microsoft account) or integration, we may receive information from that service, such as your basic profile information and authentication token.

4. How We Use Your Personal Data

We use the data we collect for the following purposes:

  • To Provide and Maintain the Services: To set up your account, process your website content, host your parallel AI site, and display your AI analytics dashboard.
  • To Bill and Manage Your Account: To process payments, send invoices, and manage your subscription.
  • To Improve Our Services: To analyze usage patterns, research and develop new features, and enhance the performance and accuracy of our AI tracking and content optimization.
  • To Communicate With You: To send transactional notices (like invoices or password resets), product updates, security alerts, and, with your consent, marketing communications.
  • To Secure Our Services: To detect, investigate, and prevent fraud, abuse, or violations of our policies.
  • To Comply with Legal Obligations: To meet our legal, tax, and regulatory requirements or to defend our legal rights.

5. How We Share and Disclose Data

We take your privacy seriously and we do not sell your personal data. We only disclose it in the following limited circumstances:

  • To Service Providers: We use carefully vetted third-party companies to help us operate our business (e.g., cloud infrastructure hosts, payment processors, customer support tools, email providers). These providers are bound by strict confidentiality and data-processing terms.
  • To Our Affiliates: We may share data with our parent companies, subsidiaries, or other companies under common control with Pillar, for the purposes outlined in this policy.
  • With Your Consent: If you direct us to share data with a third-party integration.
  • For Legal Reasons: We may disclose data if required by law, subpoena, or a court order, or to protect the rights, safety, or property of Pillar, our users, or the public.
  • In a Business Transfer: If Pillar is involved in a merger, acquisition, financing, or sale of all or a portion of our assets, your data may be transferred as part of that transaction, subject to continued protection under this policy.

6. Data Security

We employ industry-standard administrative, technical, and physical controls to protect your data. This includes:

  • Encryption in transit (using TLS) and encryption at rest.
  • Strict access controls and multi-factor authentication for our internal systems.
  • Regular security monitoring and vulnerability scanning.
  • An incident response plan to address any potential data breaches.

7. Data Retention

We keep your personal data only for as long as necessary to provide the Services and for the purposes outlined in this policy.

  • Account and billing records are kept for the duration of your customer relationship and for a period afterward to meet tax and audit requirements.
  • Customer Data (Your Website Content) is retained while your account is active to power your parallel AI site. It is deleted from our systems within a reasonable timeframe after you terminate your service.
  • Usage and analytics data may be kept in an aggregated or anonymized form for longer periods to improve our Services.

8. Your Privacy Rights

Depending on your location (e.g., California), you may have specific rights regarding your personal data, including the right to:
